Position Overview
Are you a highly organized, creative planner who thrives on turning ideas into unforgettable experiences? IOOV is looking for a dynamic Events & Community Engagement Manager to oversee the design, execution, and evaluation of our signature events—including BIPOC Pride , the Biennial Unity Through Diversity LGBTQ+ POC Health Conference , and the Jazz in July Gala .
This role goes beyond event logistics—it’s about creating mission-driven experiences that inspire action, foster belonging, and strengthen community impact throughout New York’s Capital Region. The ideal candidate is detail-oriented, resourceful, and passionate about producing events that reflect IOOV’s values of equity, inclusivity, and justice.
Key Responsibilities
Event Planning & Management
Lead the planning and production of IOOV’s major events from concept to completion.
Manage all logistics: budgeting, contracts, permits, run-of-show, vendor coordination, and on-site execution.
Serve as the primary contact for vendors including caterers, entertainers, AV teams, and decorators.
Sponsorship & Donor Engagement
Partner with executive leadership to secure sponsorships, donations, and in-kind support.
Cultivate and maintain strong relationships with donors, sponsors, and community partners.
Assist in creating sponsorship packages, donor communications, and follow-up acknowledgments.
Creative Production & Branding
Design and implement culturally resonant and visually engaging event experiences.
Oversee development of event signage, programs, branded merchandise, and promotional materials.
Ensure every event reflects IOOV’s mission and celebrates the voices of LGBTQ+ communities of color.
Team & Volunteer Coordination
Recruit, train, and supervise volunteers and temporary event staff.
Assign roles, manage day-of coordination, and foster a supportive team environment.
Oversee preparation of event materials such as registration lists, badges, swag bags, and signage.
Administration & Operations
Maintain IOOV’s master event calendar and coordinate site visits.
Track attendees, sponsors, and event-related expenses with accuracy.
Support donor database entry and reporting as part of IOOV’s fundraising strategy.
Community Engagement & Representation
Represent IOOV at community events with professionalism and cultural humility.
Provide excellent customer service to attendees, sponsors, and stakeholders.
Qualifications
Education
Bachelor’s degree in Event Management, Communications, Nonprofit Management, or related field preferred.
Equivalent professional experience in events, fundraising, or community engagement considered.
Experience
At least 2 years of event coordination experience, ideally in a nonprofit or mission-driven setting.
Demonstrated success managing large-scale events (100+ attendees).
Experience collaborating with diverse community partners and multiple stakeholders.
Skills & Attributes
Excellent organizational, communication, and interpersonal skills.
Strong attention to detail and ability to juggle multiple deadlines.
Creative thinker with a solutions-oriented mindset.
Proficiency in Microsoft Office Suite; Adobe Creative Suite a plus.
Familiarity with event platforms (Eventbrite, Cvent, or similar) and donor management systems.
Willingness to work evenings and weekends for major events.
